Configuring Your Kingfisher Sheriff’s Office Email on Mobile and Desktop

Email Account Overview
Your Email Address Format: firstinitial+lastname@kingfishersheriff.gov
Example: If your name is John Smith, your email would be: jsmith@kingfishersheriff.gov
What You’ll Need
Before you begin, make sure you have the following information available:
- Your Email Address: firstinitial+lastname@kingfishersheriff.gov (using your first initial and last name)
- Your Password: Your email account password (if you don’t know your password, contact Katrina)
- Internet Connection: A stable internet connection (WiFi or cellular data)
Download Thunderbird
Option 1: Desktop/Laptop (Windows, Mac, or Linux)

Download Thunderbird for Desktop
Visit thunderbird.net and download the latest version for your operating system (Windows, macOS, or Linux). Thunderbird is free and open-source software maintained by Mozilla.
Option 2: Android Phone
Google Play Store:
Download K-9 Mail (Android Email Client)
K-9 Mail is a free, open-source email client for Android that provides excellent support for IMAP accounts like your Kingfisher Sheriff’s Office email. This is the recommended email client for Android deputies.
Option 3: iPhone/iPad
Apple App Store:
Download Spark Email (iPhone/iPad)
Spark is a free, feature-rich email client for iOS devices that provides excellent IMAP support. Alternatively, you can use the built-in Apple Mail app that comes with iOS.
Desktop Setup (Mozilla Thunderbird)
This guide covers setting up your email in Thunderbird on Windows, macOS, or Linux. Thunderbird can automatically detect most email settings, but we’ve also included manual setup instructions if needed.
Automatic Setup (Recommended)
Thunderbird’s automatic setup feature will attempt to configure your account with minimal input. Follow these steps:
Open Thunderbird
Launch the Thunderbird application on your computer. If this is your first time using Thunderbird, it will open to the welcome screen. If you have existing email accounts, you may need to select “File” → “New” → “Mail Account”
Click “Set Up a New Email Account”
Look for the option that says “Set Up a New Email Account” or similar text. You may see this on the welcome screen or in a menu option.
Enter Your Full Name
In the “Your name” field, enter your full name as it should appear when you send emails (example: “John Smith”).
Enter Your Email Address
In the “Email address” field, enter your complete Kingfisher Sheriff email address in this format:

Enter Your Password
In the “Password” field, enter the password for your email account. This is the same password you use to log into your email through the web browser.
Click “Continue”
Click the “Continue” or “Next” button. Thunderbird will now attempt to automatically detect and configure your email settings.
Wait for Auto-Configuration
Thunderbird will search its database of known email server configurations. This usually takes 10-30 seconds. A progress spinner will show while it’s working.
Review the Detected Settings
If successful, Thunderbird will display the detected settings including:
- Incoming Server: mail.kingfishersheriff.gov (IMAP)
- Outgoing Server: mail.kingfishersheriff.gov (SMTP)
- Username: Your email address
Click “Done”
If the settings are correct, click the “Done” button to complete the setup. Thunderbird will now download your email folders and begin syncing messages.
Wait for Initial Sync
Thunderbird will download your email history. This may take several minutes depending on how many emails are in your account. You can see the progress in the folder list on the left side of the window.
Manual Setup (If Auto-Configuration Fails)
If the automatic setup doesn’t work, follow these steps to manually configure your account:
Open Account Settings
Once you’re in the Thunderbird main window, click on “Mail” in the menu bar (top of window), then select “Account Settings” or go to the three-line menu button (☰) in the top-right and choose “Account Settings”.
Select Your Email Account
In the left sidebar of the Account Settings window, you should see your email account listed. Click on it to select it.
Configure Incoming Server (IMAP)
Click on “Server Settings” in the left menu. You’ll see the incoming server configuration section. Set the following values exactly as shown:

In the left menu of Account Settings, click on “Outgoing Server (SMTP)”. Look for the entry that says “mail.kingfishersheriff.gov” and click on it to select it. If it doesn’t exist, you’ll need to create it by clicking the “Add” button. Configure it with these settings:

Once you’ve entered all the settings above, click the “OK” button at the bottom of the Account Settings window to save your configuration.
Test Your Connection
Thunderbird will attempt to connect to the mail servers using your new settings. You should see your email folders populate in the left sidebar within a few moments. If you see an error message, verify that all settings match exactly and that your password is correct.
Verify Your Setup
Once your account is configured, verify it’s working correctly:
Check Incoming Mail
Look in the left sidebar of Thunderbird. You should see your email account listed with folders including Inbox, Sent, Drafts, and Trash. Click on “Inbox” and verify that you can see your emails.
Test Sending Email
Click the “Write” button in the toolbar (or press Ctrl+N on Windows/Linux or Cmd+N on Mac). Compose a test email to yourself or another officer and click “Send”. The message should appear in your “Sent” folder within a few seconds.
Receive the Test Email
When you receive the email in your Inbox, you’ve confirmed that both incoming and outgoing email are working correctly.
Android Mobile Setup (K-9 Mail)
This guide covers setting up your Kingfisher Sheriff’s Office email on Android phones and tablets using K-9 Mail, a powerful and reliable email client designed specifically for IMAP accounts.
Prerequisites
- Android phone or tablet running Android 5.0 or later
- K-9 Mail app installed from Google Play Store (download link at top of page)
- Your email address and password
- Active internet connection (WiFi or cellular data)
Installation Steps
Open Google Play Store
On your Android device, open the Google Play Store app (usually found on your home screen or app drawer with a colorful triangle icon).
Search for K-9 Mail
Tap the search icon (magnifying glass) at the top of the screen and type “K-9 Mail”. The official K-9 Mail app should appear as the first result, published by “K-9 Mail and 14 more”.
Tap “Install”
Tap the blue “Install” button next to the K-9 Mail app icon. The system will ask for permission to access files, storage, and other resources. Tap “Accept” to proceed with the installation.
Wait for Installation to Complete
The app will download and install. This usually takes 1-3 minutes depending on your internet speed. Once completed, the blue “Install” button will change to “Open”.
Tap “Open” to Launch K-9 Mail
Once installation is complete, tap the “Open” button to launch K-9 Mail for the first time.
Initial Configuration
Grant Permissions
K-9 Mail will ask for various permissions on first launch (contacts, calendar, notifications, etc.). You can grant these now or skip them. For basic email functionality, you only need to grant access to notifications and contacts is optional.
Tap “Add Account”
After the welcome screen, you’ll see an option to “Add Account” or “+” icon. Tap this button to begin adding your Kingfisher Sheriff’s Office email account.
Enter Your Email Address
In the email address field, enter your complete Kingfisher Sheriff’s Office email address:

Enter Your Password
In the password field, enter your email account password. This is the same password you use to check your email on a web browser.
Choose Account Type
K-9 Mail will attempt to detect your email configuration. When asked to choose between “IMAP” or “POP3”, select IMAP. IMAP is recommended because it keeps all your emails synced across all devices you access your email from.
Verify Incoming Server Settings
K-9 Mail will auto-detect your incoming mail server settings. Verify the following information is correct:

Next, K-9 Mail will show the outgoing (SMTP) server settings. Verify these are correct:
Setting Should Be Server Address mail.kingfishersheriff.gov Port 465 Security/Encryption SSL/TLS Require Authentication Enabled Username Your full email address Important: Make sure the SMTP port is set to 465, not 587. Port 465 uses implicit TLS, which is required for our email server.
Give Your Account a Name
K-9 Mail will ask you to name this account for display purposes. You can call it something like “Work Email” or “Kingfisher Sheriff” or just leave it as your email address.
Complete the Setup
Tap “Next” or “Done” to complete the account setup. K-9 Mail will now attempt to connect to the mail server and download your emails.
Wait for Initial Sync
K-9 Mail will download your email folders and recent messages. This may take 1-5 minutes depending on how many emails are in your account and your internet speed. You’ll see a progress indicator at the top of the app.
Configuring Android Settings for K-9 Mail (Optional but Recommended)
Open Settings from K-9 Mail
From the main K-9 Mail screen, tap the three dots menu (⋮) in the top-right corner and select “Settings”.
Configure Notification Settings
Tap on “Notifications” to configure how you’ll be notified of new emails. You can set:
- Sound: Enable or disable notification sound
- Vibration: Enable or disable vibration alerts
- LED Light: Enable or disable LED notification (if available)
- Check Frequency: How often the app checks for new mail
Configure Auto-Sync Frequency
In the Account Settings, you can set how often K-9 Mail checks for new emails. For law enforcement use, we recommend setting it to “Every 15 minutes” or “Every 30 minutes” to ensure timely email delivery without draining your battery excessively.
Enable Push Notifications (If Available)
Some email servers support push notifications for immediate delivery. However, our current server setup uses polling (checking at intervals). Push notifications can be enabled if your organization upgrades to a push-capable server in the future.
Testing Your Android Email Setup
Check Your Inbox
From the K-9 Mail main screen, tap on your account name and then “Inbox”. You should see your existing emails from the server. If the inbox is empty, it means you’re properly connected but don’t have any emails yet.
Compose a Test Email
Tap the compose button (pencil icon or “+” button) and write a test email to yourself or a colleague. Enter their email address, add a subject line, and type a message.
Send the Test Email
Tap the “Send” button. The email should send immediately. If you see an error message about SMTP authentication, double-check that your username and password are correct in the account settings.
Verify Email Received
If you sent the email to yourself, wait a minute and then pull down on your inbox to refresh and check for the incoming email. Once you see it arrive, your email setup is complete and working correctly.
Common Android Configuration Issues and Fixes
Issue: “Authentication Failed” Error
Solution: Double-check that your email address and password are entered correctly. The password is case-sensitive. If you’re still getting this error, verify your password with Katrina and try again. Do not attempt to set up multiple times in quick succession, as the server may temporarily block the account after multiple failed attempts.
Issue: Emails Not Syncing or Appearing
Solution: Make sure your Android device has a stable internet connection. Check WiFi or cellular data settings. Open K-9 Mail and tap the refresh button (usually a circular arrow icon) at the top of the screen. If emails still don’t appear, check that your IMAP port is set to 993 and SSL/TLS is enabled.
Issue: Can’t Send Emails but Can Receive
Solution: This typically indicates an SMTP (outgoing server) configuration problem. Go back to Account Settings and verify the SMTP server is set to mail.kingfishersheriff.gov with port 465 and SSL/TLS enabled. Verify that “Require Authentication” is checked and your username/password match your IMAP settings.
iPhone/iPad Setup (Spark Mail or Apple Mail)
This guide covers two options for setting up your Kingfisher Sheriff’s Office email on iPhone and iPad. Option 1 covers the recommended approach using Spark Mail, and Option 2 covers Apple’s built-in Mail app.
Option 1: Using Spark Email (Recommended)
Installation Steps
Open App Store
On your iPhone or iPad, open the App Store app (the blue icon with a white stylized “A”). You can find it on your home screen or in your app library.
Search for Spark Email
Tap the search tab at the bottom of the screen (magnifying glass icon) and type “Spark Email”. Look for the app published by “Readdle, Inc.” with a colorful bird icon.
Tap “Get” then “Install”
Tap the cloud download icon (labeled “Get”), then confirm with Face ID, Touch ID, or your Apple ID password when prompted. The icon will change to “Install” and the app will begin downloading.
Wait for Installation
Once the app finishes downloading, it will automatically install. This takes 1-2 minutes. The “Install” button will change to “Open” when complete.
Tap “Open” to Launch Spark
Tap the “Open” button to launch Spark Email for the first time.
Setting Up Your Email Account in Spark
Grant Permissions
Spark will ask for permission to send you notifications and access your contacts. You can enable or disable these as desired. Tap “Allow” for notifications to ensure you don’t miss important work emails.
Tap “Add Email Address”
After the welcome screen, tap the “Add Email Address” button or the plus (+) icon to add a new email account.
Enter Your Email Address
In the email field, type your complete Kingfisher Sheriff’s Office email address:

Tap “Next”
Spark will attempt to auto-detect your mail server configuration. This usually takes 10-20 seconds.
Select “IMAP”
When asked whether to use IMAP or POP3, select IMAP. IMAP is the recommended protocol because it keeps your emails synchronized across all devices.
Enter Your Password
When prompted for your password, enter the password for your Kingfisher Sheriff’s Office email account. This is the same password you use to check email in a web browser.
Verify Server Settings
Spark will display the detected server settings. Verify that they match the information below:

If the settings are correct, tap the “Connect” or “Done” button. Spark will now attempt to authenticate with the mail server using your credentials.
Wait for Authentication
Spark will connect to the mail server and download your emails. This may take 1-5 minutes depending on the number of emails in your account. You’ll see a progress indicator on the screen.
Complete Setup
Once your emails have downloaded, you’ll see your Inbox with a list of your emails. Your Spark setup is now complete!
Option 2: Using Apple Mail (Built-in)
If you prefer not to install a third-party app, you can use Apple’s built-in Mail app that comes with iOS.
Adding Your Email Account to Apple Mail
Open Settings App
On your iPhone or iPad, tap the “Settings” app (gear icon) from your home screen.
Navigate to Mail
Scroll down and tap “Mail” from the settings menu. This option may also appear as “Mail, Contacts, Calendars” depending on your iOS version.
Tap “Accounts”
In the Mail settings, you’ll see an “Accounts” option at the top. Tap it to see all your configured email accounts.
Tap “Add Account”
Look for an “Add Account” button or option. Tap it to begin adding your Kingfisher Sheriff’s Office email.
Select “Other”
You’ll see options for different email providers (Gmail, Yahoo, etc.). Since Kingfisher Sheriff uses a custom domain, select “Other” at the bottom of the list.
Enter Account Information
Fill in the following information:
- Name: Your full name (e.g., “Officer John Smith”)
- Email: firstinitial+lastname@kingfishersheriff.gov
- Password: Your email account password
Tap “Next”
Apple Mail will attempt to automatically detect your server settings. This usually takes 10-30 seconds.
Select IMAP or POP3
You’ll see two tabs labeled “IMAP” and “POP3” at the top of the incoming mail settings. Make sure the “IMAP” tab is selected, as IMAP is the recommended protocol for accessing your email from multiple devices.
Verify Incoming Server Settings
Under the IMAP tab, verify the following settings are correct:

Verify Outgoing Server Settings
Scroll down to see the “Outgoing Mail Server (SMTP)” section. Verify these settings:

Once you’ve verified all the settings are correct, tap the “Save” button. Apple Mail will now connect to the mail server and begin downloading your emails.
Wait for Initial Sync
Apple Mail will download your email folders and recent messages. This may take 1-5 minutes. Once complete, open the Mail app (the envelope icon on your home screen) and you should see your emails.
Configuring Apple Mail Notifications (Optional)
Open Settings
Go to Settings → Notifications on your iPhone or iPad.
Find Mail in the List
Scroll down and tap on “Mail” to configure notification settings for the Mail app.
Enable Notifications
Toggle “Allow Notifications” to ON so you receive alerts when new emails arrive. You can also customize:
- Notification style (banners, alerts, etc.)
- Sound settings
- Badge app icon
- Show on lock screen
- Show in notification center
Testing Your iPhone/iPad Email Setup
Open the Mail App
Find and tap the Mail app on your home screen (envelope icon). If you’re using Spark, tap the Spark app instead.
Verify Your Inbox
You should see your email account listed. Tap on it to open your Inbox. Your emails should begin to download if they haven’t already.
Compose a Test Email
Tap the compose button (pencil icon or message icon) to compose a new email. Send a test email to yourself or a colleague to verify that outgoing email works.
Verify the Sent Email Appears
Once you tap “Send”, the email should appear in your “Sent” folder within a few seconds, confirming that SMTP (outgoing email) is working correctly.
Confirm Email Reception
If you sent the email to yourself, wait a minute and refresh your Inbox. Once the email arrives, your iPhone/iPad email setup is complete and functioning properly.
Common iPhone/iPad Configuration Issues
Issue: Cannot Verify Server or “Invalid Certificate” Error
Solution: This error can occur if Apple Mail encounters an issue with the SSL certificate. Tap “Edit” in the account settings and ensure that SSL is enabled for both incoming and outgoing servers. If the error persists, try using Spark Email instead, which often handles certificate issues more gracefully.
Issue: Emails Not Downloading on iPhone
Solution: Verify your WiFi or cellular data connection is active. In the Mail app, pull down on your Inbox to manually refresh. If emails still don’t appear, check that your IMAP port is set to 993 and authentication is enabled. Try removing the account (Settings → Mail → Accounts → select account → Delete Account) and adding it again.
Issue: “Authentication Failed” When Sending Emails
Solution: This indicates an issue with the outgoing SMTP server. Go to Settings → Mail → Accounts → select your Kingfisher Sheriff account → tap the account name → Outgoing Mail Server. Verify the hostname is “mail.kingfishersheriff.gov” with port 465, and that authentication is enabled with your correct username and password.
Issue: Error Message “Couldn’t Connect to Server”
Solution: This typically means the iPhone cannot reach the mail server at all. Make sure your device has an active internet connection. Try switching between WiFi and cellular data to see if that resolves the issue. If the error persists, there may be a temporary server issue – wait 15 minutes and try again.

Note: POP3 is less recommended than IMAP because it downloads emails to one device only. IMAP synchronizes emails across all your devices. Only use POP3 if you specifically need emails on one device only.

General Troubleshooting Steps
Before trying specific solutions, try these general troubleshooting steps:
Verify Internet Connection
Ensure your device has an active internet connection. Try opening a web browser and visiting a website like google.com to confirm connectivity.
Restart Your Device
Power off your phone or computer completely, wait 10 seconds, and power it back on. This often resolves temporary connectivity issues.
Check Server Status
The mail server may be temporarily offline. If you cannot connect from multiple devices, it may be a server issue. Wait 15-30 minutes and try again.
Verify Your Email Address
Make sure you’re using the correct email address format: firstinitial+lastname@kingfishersheriff.gov (with the plus sign, not underscore or dash).
Verify Your Password
Passwords are case-sensitive. Ensure caps lock is off and you’ve entered your password exactly as you created it. If you’ve forgotten your password, contact Katrina.
Authentication and Login Issues
Problem: “Authentication Failed” or “Login Failed”
Cause: The server rejected your username or password.
Solutions:
- Verify your email address is spelled correctly with the plus sign (+): firstinitial+lastname@kingfishersheriff.gov
- Check that your password is correct. Passwords are case-sensitive.
- If you’ve tried multiple times and keep getting this error, your account may be temporarily locked. Wait 15 minutes and try again, or contact Katrina.
- If setting up on multiple devices, note that repeated login failures from different locations may trigger temporary account locks for security.
Problem: “Invalid Credentials” or “Credentials Rejected”
Cause: Similar to authentication failure, but specifically indicates your username/password combination is not accepted.
Solutions:
- Verify you’re using your full email address (firstinitial+lastname@kingfishersheriff.gov) as the username, not just your first name or nickname
- Check that you don’t have spaces or extra characters before or after your email address
- Try resetting your password through the web email interface if available
- Contact Katrina to confirm your email account is active and your password is correct
Server Connection Issues
Problem: “Cannot Connect to Server” or “Server Unreachable”
Cause: Your device cannot establish a connection to the mail server.
Solutions:
- Confirm you have an active internet connection (WiFi or cellular data)
- Try switching between WiFi and cellular data if available
- Verify the server hostname is spelled exactly: mail.kingfishersheriff.gov (no www, no spaces)
- Check your port number: 993 for IMAP, 465 for SMTP
- Some public WiFi networks (hotels, airports) may block access to email servers. Try using cellular data if available.
- If behind a corporate firewall, contact your IT department to ensure mail server ports are not blocked
- The mail server may be temporarily down. Wait 15-30 minutes and try again.
Problem: SSL/TLS Error or “Certificate Error”
Cause: The mail client cannot verify the security certificate of the mail server.
Solutions:
- Ensure SSL/TLS is enabled in your account settings (not “None” or “No encryption”)
- Verify the correct ports are being used: 993 for IMAP, 465 for SMTP (both require SSL/TLS)
- Check that your device’s date and time are set correctly (incorrect date/time can cause certificate errors)
- On Android, try using K-9 Mail which handles certificate issues better than some other clients
- On iPhone, try using Spark Email instead of Apple Mail
- Update your email client to the latest version
Email Sending Issues
Problem: Can Receive Emails But Cannot Send
Cause: IMAP (incoming) is configured correctly, but SMTP (outgoing) has an issue.
Solutions:
- Verify the outgoing (SMTP) server settings:
- Hostname: mail.kingfishersheriff.gov (must match incoming server)
- Port: 465 (not 25 or 587)
- Security: SSL/TLS
- Authentication: Enabled with your full email address as username
- Verify your password is correct for SMTP (should match your IMAP password)
- In some email clients, SMTP is configured separately. Ensure you’re not just configuring IMAP
- Restart your email application and try sending again
Problem: “SMTP Not Supported” or “Cannot Configure Outgoing Server”
Cause: Your email client may not support SMTP configuration, or it requires a different approach.
Solutions:
- Use a different email client that fully supports SMTP configuration (Thunderbird, K-9 Mail, or Spark)
- Check if your email client has a “manual configuration” or “advanced settings” option
- Some web-based email clients don’t allow SMTP configuration – use a dedicated email application instead
Email Sync and Folder Issues
Problem: Emails Not Syncing or Appearing in Inbox
Cause: The email client is not downloading emails from the server.
Solutions:
- Manually refresh/sync your inbox (pull down gesture on mobile, or look for a refresh icon)
- Check that IMAP is selected (not POP3) for better synchronization across devices
- Verify your internet connection is stable
- Check if your email account storage quota has been exceeded (contact Katrina)
- Try removing and re-adding the account if syncing is persistently broken
- On Thunderbird, go to File → Offline → Work Online to ensure offline mode is disabled
Problem: Missing Folders or Can’t See Sent/Drafts/Trash
Cause: Email folders may not be subscribed or configured properly.
Solutions:
- Thunderbird: Right-click on your email account name in the left sidebar and select “Get Folders” or “Subscribe to Folders”
- In folder subscription settings, check the boxes for Sent, Drafts, Trash, and other folders you want to see
- Verify that folder synchronization is enabled in account settings
- Some email clients create local-only folders – ensure you’re looking at server folders
Performance and Battery Issues
Problem: Battery Draining Quickly on Mobile Device
Cause: Email client is checking for new mail too frequently or constantly running in background.
Solutions:
- Reduce the email check frequency to every 15-30 minutes instead of every 1-5 minutes
- Disable push notifications if the server doesn’t support them
- Disable background refresh or limit it to WiFi-only
- On Android, check Settings → Apps → [Email Client] → Battery usage and optimize if possible
- Close the email app when not in use
Problem: Email Client Running Slowly or Freezing
Cause: Too many emails in a single folder, or insufficient device resources.
Solutions:
- Archive or delete old emails to reduce the number of messages in your Inbox
- Restart your email application completely
- Restart your device
- On mobile devices, close other apps running in background to free up RAM
- Update your email client to the latest version
- Clear cache and data for the email app (on Android: Settings → Apps → [Email Client] → Storage)
